1. Definitions

For the purposes of this Privacy Policy, the following definitions apply:

2. Scope

This Privacy Policy applies to taz (the Bot) and its companion web Dashboard, in any Discord Server they are used in.

It does not apply to Discord itself or to any other services, bots, or servers not operated by us.

3. What We Collect

The Bot and Dashboard collect data necessary to operate, scoped to the Server it relates to wherever applicable. This may include:

4. How We Use This Data

We use this data to run the Bot and Dashboard and to keep each Server functioning properly for its own Staff and members.

This includes running commands, handling leveling and progression, tickets, giveaways, and other features, detecting spam and abusive or unwanted joins, logging activity, maintaining Server-scoped analytics for that Server's Staff, and operating the Dashboard and taz Plus.

5. Moderation and Logging

The Bot logs activity within each Server for moderation, scoped to that Server.

This includes message deletions, edits, moderation actions, and related content. That Server's own authorized Staff are able to view and review these logs, through log channels and the Dashboard. Staff of one Server cannot see logs from a different Server.

Any and all messages you send in a Server where logging is enabled are processed and may be stored by the Bot for moderation and server management purposes in that Server.

6. Leveling and Progression

The Bot includes leveling features. To support this, the Bot stores XP, levels, prestige, rank, and related progression data, tracked separately for each Server.

This data is used to calculate levels, display leaderboards, generate rank cards, and assign roles or rewards tied to progression within that Server.

7. Tickets and Transcripts

Where a Server enables the ticket system, messages sent within a support-ticket channel are compiled into a transcript once the ticket is closed. Transcripts are stored on our infrastructure and are accessible to that Server's authorized Staff.

Ticket-related records (such as who opened a ticket, and any ticket-specific bans set by a Server's Staff) are scoped to that Server and are not shared with other Servers.

8. Dashboard and Account Data

Logging into the Dashboard uses Discord's own "Log in with Discord" sign-in. When you do this, we receive your Discord user ID, username, avatar, and the list of servers you belong to, which we use to determine which Servers you're permitted to manage.

We create a Dashboard session (via a session cookie) and securely store an encrypted copy of the Discord token needed to keep you signed in and refresh your server list. Sessions expire automatically after a period of inactivity or extended time, and you can end a session at any time by logging out or by revoking the app's access from your Discord account's authorization settings.

9. taz Plus Data

If a Server subscribes to taz Plus, we receive subscription/entitlement status information from Discord so we can unlock the relevant features for that Server. We do not receive or store your payment card details — billing is handled entirely by Discord.

10. Data Retention

We keep data only as long as it is useful for running the Bot and Dashboard and managing the Servers it operates in.

Some data, like leveling, moderation history, or ticket transcripts, may be kept longer, while other data may be temporary. We may delete, reset, or clean up data at any time if needed for maintenance or abuse prevention. Server Staff may also delete or reset certain data (such as leaderboard entries, ticket panels, or custom configuration) for their own Server using tools we provide them.

11. Data Sharing

We do not sell your data.

Data related to a Server is generally visible only to that Server's own authorized Staff through logs, the Dashboard, and moderation tools — it is not shared with other, unrelated Servers. Data may also be disclosed if required by law.

12. Third-Party Services

The Bot relies on Discord and uses external services for certain features.

Fun commands such as the dog and cat commands use The Cat API and dog.ceo respectively. We also use cloud hosting and storage providers to run the Bot and Dashboard and to store data such as ticket transcripts and uploaded images.

Those services operate under their own policies, and we are not responsible for how they handle data. Your personal Discord data is never given to the fun-command image APIs, and all such requests are made by the Bot itself, not on your behalf with identifying information.

13. Data Requests

You can contact us about questions related to your data.

We may remove Bot- or Dashboard-specific stored data when reasonable, but we may keep data if it is needed for moderation, abuse prevention, or a Server's own records. You can also revoke the Dashboard's access to your Discord account at any time from Discord's own connected-apps/authorization settings.

14. Security

We take reasonable steps to protect data used by the Bot and Dashboard, including encrypting sensitive stored credentials, but no system is completely secure, and while we are very confident in our security measures, we cannot guarantee absolute security.

We are not liable for any unauthorized access or data breaches.

Any known breaches of security and user privacy will be disclosed in our Support Server.

15. Changes to This Policy

We may update this Privacy Policy at any time.

Updates to this Privacy Policy will be announced in our Support Server. Continued use of the Bot or Dashboard means you accept the updated policy.
